Accountants who get how agencies actually run.

Project-based revenue, freelancer rosters, retainer cash flow, multi-currency clients, the time-tracking-vs-fixed-price argument — we know the agency model and the accounting that makes it work.

Built for the way agencies actually charge

Most accountants treat an agency like any other small business. But agencies have their own rhythm: a single big project win can swing a quarter, freelancer costs spike before payroll catches up, retainer income looks predictable until two clients pause in the same month, and Stripe fees, FX losses and reverse-charge VAT on overseas clients quietly eat into margins.

We build agency accounts around that reality. Xero set up with project tracking and a clean P&L by client or service line, freelancer costs handled correctly (and IR35 advice when needed), VAT done right for UK and overseas clients, and a monthly management report that tells you whether you’re actually making money on each engagement, not just busy.

FAQ

Common questions

How do you handle revenue across long projects?
Most agencies recognise revenue on a percentage-completion or milestone basis depending on engagement type. We set the right policy in Xero from the start and apply it consistently across each engagement.
Do I have to put my freelancers through IR35?
For most small agencies (under HMRC small-company thresholds) the freelancer carries the IR35 determination. Above the threshold, you do. We assess your status and the right approach for each contractor.
How do you treat overseas clients for VAT?
Most B2B services to overseas clients are outside the scope of UK VAT (with the customer accounting for it via reverse charge). We document each engagement so you have a defensible audit trail.
Can you help with profitability per client?
Yes – that is exactly what Xero project tracking is for. We set up codes and reports that show actual margin per client and per service line, monthly.
I’m an agency owner not a finance person. How much do I have to learn?
Almost nothing. We do the bookkeeping and produce a monthly one-page summary that shows the numbers an agency owner actually needs – retained revenue, project margin, runway. The detail is there if you want to dig.
